Where PTO tracking usually goes wrong

Six things a spreadsheet cannot do, and a surprising number of tools get wrong.

Only working days are charged

Book Friday to Monday and you are charged two days, not four. The count that appears on the request is the count that comes off the balance — there is no second, different number found later.

Each person's own public holidays

Import holidays for any of 152 countries and give each team a country. Someone in Chennai and someone in Manchester book the same week and are charged different amounts, because they are genuinely off on different days.

Half days at either end

Off from Wednesday afternoon until Friday morning is one request, not three. Any leave type can have half days switched off — which is usually what you want for sick leave.

Pending days are held

A request that has not been decided yet is still counted against what is left, so nobody books the same fortnight twice while waiting to hear back.

The leave year is handled

A booking across New Year is split, and each day counts against the year it falls in. December never quietly spends January's allowance.

Accruals and carry-over

Allowances that build up monthly or quarterly, rollover with a cap, and an expiry date for carried days — for the companies that work that way.

Common questions

What is a PTO tracker?
Software that records how much paid time off each person is entitled to, how much they have taken, and how much is left — and routes each request to whoever approves it, in place of a shared spreadsheet.
How does Hashoff calculate PTO days?
Only working days count. Weekends are free, and so are the public holidays of the country set on that person's team. Half days count as half and can fall at either end of a request. Pending requests are held against the balance so days cannot be double-booked.
Can people request PTO from Slack?
Yes. /hashoff request, or Request Leave on the Home tab, opens a dialog that shows each leave type with how many days you have left. /hashoff balance, /hashoff who and /hashoff holidays answer without a form. Approvers get a direct message with Approve and Deny. The same queue is in the web app, and a decision in one place closes it in the other.
Does it handle different PTO allowances for different people?
Yes. A leave type sets the company allowance, and any individual can be given their own — for seniority, a contract difference, or a local statutory minimum.
